Going Live with Linguali: a facilitation toolkit

Here is a facilitation toolkit for the event organiser.

Before the event

We recommend that the meeting’s organizer sends guidelines by e-mail to all the participants :
– 5 to 10 days before, an onboarding e-mail
– and the day before, a reminder e-mail

Why do I need to send it?
To provide your participants with the basic guidelines so that they are ready to connect to Linguali on D-day
When should I send it?
5 to 10 days before the event date

Dear Sir, Madam, esteemed attendee,
You have registered to listen to {NAME OF FAMOUS FOREIGN SPEAKER}’s talk at {EVENT NAME}, on {EVENT DATES}. We are delighted to be able to offer simultaneous interpreting for this event.
The translation will be provided by our professional simultaneous interpreter through the innovative tool, Linguali-IS (Linguali Interpreting System).

Here are the guidelines to access this service:
– right now you should install the free Linguali mobile app on your smartphone (Android or Apple) (link: https://linguali.com/download/#participant)
– on the day of the event, bring your earphones with you, as well as your (fully charged) device

At the beginning of the event, you will:
– connect your mobile to the {NAME OF THE WIFI} wifi network with the password: {SIMPLE PASSWORD}
– launch the Linguali app on your smartphone
– choose the language in which you wish to listen to the interpreter
– and sit back and listen! It’s as simple as that.

Reminder e-mail

Why should you send it?
Not everybody reads their emails or follow the guidelines on the first attempt… A reminder should help.
When should you send it?
The day before the event is ideal.
What should you write?
Subject:[REMINDER] {EVENT NAME}: guidelines for listening to the simultaneous interpreter with your smartphone

You have registered to listen to {NAME OF FAMOUS FOREIGN SPEAKER}’s talk at {EVENT NAME}, on {EVENT DATES}. The simultaneous interpreting will be provided through the mobile application Linguali-IS.

Last reminder:
– if not yet done, please install the Linguali mobile app for Apple or Android now
(link: https://linguali.com/download/#participant)
– On D-day, connect your mobile to the {NAME OF THE WIFI} wifi network with the password: {SIMPLE PASSWORD}
– launch the Linguali app on your smartphone
– choose the language in which you wish to listen to the interpreter
– and sit back and listen!

As this is the beta version of the Linguali-IS app, we would like to thank you in advance for your patience and understanding if there are any unexpected hiccups. In most instances, you should be able to resolve the problem by closing down all the apps running on your phone, cutting the wifi, putting your phone on ‘airplane mode’, then reconnecting to the wifi and relaunching the Linguali app.

During the event

In the event room, while waiting for the meeting to begin, display a single slide that reminds the participants of:

  • the Linguali logo and “Linguali Interpreting System” (to remind the participants to launch their mobile app)
  • the Wi-Fi name (SSID)
  • the Wi-Fi (simple) password
